New productInteraction designDesign QA

A whole business trip on one platform: flights, hotels, one procurement trail.

Mbiztravel is Mbizmarket’s new pillar for government business travel. After flights, hotels can now be booked, approved, invoiced and proven inside the same platform.

The 30-second version
The problem

Mbiztravel only did flights, so hotels were booked elsewhere and dropped out of the procurement trail.

What I did

Made the Trip the container for every booking, put agent comparison inside the hotel card, added one shared “booking type” marker everywhere, and ran design QA until staging matched the mockups.

The result

One approval for flight and hotel, proof of stay ready for expense reports, and hotel spend back on the platform.

Impact

From hotels booked off-platform to one trip on record.

BEFOREHotels booked outside the platform
+12%

BEFOREHotel invoices reconciled by hand
−50%

BEFOREExpense reports waiting on hotel receipts

Who it’s for

One business trip, three parties involved.

A government business trip almost always means a flight and a hotel, with the same travellers, travel order and budget. Mbiztravel started with flights only, so hotels were booked elsewhere and fell out of the procurement trail.

A

Agency buyers

Requesters and multi-level approvers. They create the trip, book, and get the voucher.

T

Travel agents

Process the booking, issue invoices, and see the stay details.

M

Mbiz ops admins

Monitor bookings, invoices, payments and travel fees in the admin portal.

The problem

A flight product that now has to fit hotels.

Every part of Mbiztravel assumed an order is a flight: columns, details, invoices, even documents. Adding hotels meant undoing that assumption on every page, without confusing the people already booking flights.

Old assumption

Every order and invoice row was assumed to be a flight

The detail column only had “Flight details”, and no listing showed what kind of booking a row was.

Different data

Hotels have rooms, guests per room, perks and stay dates

That can’t be squeezed into seats and routes, yet it still has to read the same for buyers, agents and admins.

Agency rules

Tiered approval, payment terms and audit-ready proof

One trip can need several approval levels, and every order needs an invoice and printable proof.

Who wins

A new pillar, three winners.

Agencies handle business travel in one place, agents get hotel bookings through the official channel, and Mbizmarket opens a new line beyond goods and services.

Agency buyers

One trip, one approval, all the proof.

−30%approval time, since flight and hotel are approved once
  • Travellers, travel order and estimated cost entered once on the Trip
  • Hotels compared across agents: price, payment terms, discounts
  • Every approval level sees the same details
  • Hotel voucher and e-receipt ready to print for the expense report
Travel agents

Hotel bookings through the official channel.

18agents actively taking hotel bookings
  • Booking type and trip name on every listing
  • Room, guest and perk details, no need to ask again
  • Stay dates on orders, invoices and payments
  • A clear, separate platform fee for hotels
Mbizmarket

A new pillar beyond goods and services.

+8%new agencies joining Mbiztravel after hotels launched
  • Hotel deals that used to leak now stay on record
  • A travel fee on every hotel booking
  • Ops admins track everything from booking to travel fee
  • A foundation for the next type of accommodation
Key decisions

Four decisions that shaped Mbiztravel Hotels.

01

The Trip is the container, bookings come after.

The call
People create one Trip with travellers, travel order, estimated cost and booking type. Once it’s approved, flight and hotel orders are created under it.
Why
In government agencies, one travel order covers the whole trip. If approval sat on each order, approvers would sign off on the same thing twice.
Trade-off
Flight and hotel invoices stay separate per order. Merging invoices was left out of the first release on purpose.
Decision 1: The Trip is the container, bookings come after.
02

Compare agents inside the hotel card.

The call
Each hotel in the results shows several agents at once: price per room, payment terms and corporate discount. The rest hide behind “See other agents”.
Why
The same hotel is sold by several agents at different prices and terms, and agencies need to show they picked the cheapest, or the one whose terms fit the budget.
Trade-off
Result cards get taller. Showing the first three agents and folding the rest keeps it in check.
Decision 2: Compare agents inside the hotel card.
03

One “booking type” marker on every page.

The call
A booking type column and filter, plus the trip name, were added to Approvals, Orders, Invoices, Payments, Platform Fee and four admin portal pages. “Flight details” becomes “Stay details” when it’s a hotel.
Why
Before, every row was assumed to be a flight. Without the same marker everywhere, buyers, agents and admins could read the same order differently.
Trade-off
Busy tables gain two columns. A dropdown filter balances it out, so people can split flights and hotels in one click.
Decision 3: One “booking type” marker on every page.
04

Guests are picked from the trip’s travellers, not retyped.

The call
In the booking form, each room’s guest names come from the travellers already on the Trip. Guest and room counts are checked before moving on.
Why
Guest names have to match the travel order and the hotel voucher. Retyping six names is six new chances for a typo you only find at the front desk.
Trade-off
New travellers have to be added to the Trip before they can be picked as guests.
Decision 4: Guests are picked from the trip’s travellers, not retyped.
Process

From a flight product to a business-travel pillar.

A normal UX process, plus the step people often skip: making sure what’s built actually matches the design.

Step 1

Understand

I mapped why hotels were booked off-platform, and where “every order is a flight” was baked into each page.

Step 2

Map the flow

The Trip as container, tiered approval, then two parallel order flows all the way to the voucher.

Step 3

Design & prototype

One stay-details pattern across buyer web, agent web, the admin portal and printable documents.

Step 4

Test & design QA

Failure scenarios checked, then staging compared against the mockups until colours, fonts and field behaviour matched. 30+ issues caught before release.

Looking back
“One trip already means one approval. Next up: one invoice.”

The first release kept flight and hotel invoices separate on purpose, and changes after confirmation aren’t supported yet. Those are the obvious next steps, and the Addendum pattern could be reused for changing stay dates or the guest list.
